This policy explains how VOXA handles personal data when you use our website, desktop app, browser extension, and related services.

Scope and controller

VOXA is responsible for the processing described in this policy. This policy applies to VOXA websites, applications, browser extensions, recordings, transcripts, reports, and support channels.

Data we collect

We may collect account information such as your name, email address, authentication identifiers, subscription status, and support communications.

When you start a recording, we process audio, recording names, timestamps, duration, participant speech, transcripts, speaker labels, reports, analyses, and action items. We also process limited technical logs needed for security, reliability, and troubleshooting.

Recording and consent

VOXA records only after a user starts the recording. Recording controls and status are shown while capture is active.

You must inform participants and obtain any consent required by applicable law or organisational policy before recording. Do not use VOXA to record a conversation when you do not have the right to do so.

How we use data

We use personal data to authenticate users, capture and store authorised recordings, create transcripts and reports, provide conversation analysis, process subscriptions, respond to support requests, prevent abuse, and improve service reliability.

VOXA does not sell personal data or use recording content for personalised advertising.

Service providers

We use specialised providers to operate VOXA. These may include Neon for authentication and database services, Vercel for hosting and private file storage, Deepgram for speech transcription, OpenRouter and selected model providers for analysis, Stripe for payments, and Google for sign-in and distribution.

Providers receive only the information needed to perform their service and are subject to their own security and privacy obligations.

Storage and retention

Cloud recordings, transcripts, and generated reports are retained until you delete them or your account, unless a longer period is required for legal, security, fraud-prevention, or dispute-resolution purposes.

The browser extension may keep a local recovery copy until an upload succeeds or you discard it. Backup copies may remain for a limited period before being overwritten through normal backup rotation.

Security

VOXA uses access controls, authenticated requests, private cloud storage, encrypted network connections, and operational safeguards designed to protect personal data.

No online service can guarantee absolute security. Please protect your account and notify us if you suspect unauthorised access.

Your choices and rights

Depending on your location, you may request access, correction, portability, restriction, objection, or deletion of your personal data. You can delete individual recordings through VOXA and request account deletion by email.

You may withdraw consent where consent is the legal basis for processing. Withdrawal does not affect processing already completed lawfully.

International processing

VOXA and its providers may process data in countries other than the country where you live. When required, we use contractual and organisational safeguards for international transfers.

Children

VOXA is not directed to children who cannot legally consent to the service. Schools, teachers, guardians, and organisations using VOXA with minors must obtain the permissions required in their jurisdiction.

Changes to this policy

We may update this policy when the product, providers, or legal requirements change. We will publish the revised policy with a new effective date and provide additional notice when required.

Google and Chrome Limited Use

VOXA's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data obtained through Chrome extension permissions is used only to provide and improve the user-facing recording and transcription features described in the extension.
